We take email security seriously to protect both personal information and company data. This article outlines our policy on email forwarding and provides a secure alternative for when a supervisor needs access to your inbox.
Why We Restrict Email Forwarding
Email forwarding, both to internal and external accounts, is strictly forbidden. This policy is a critical component of our security strategy. When you forward an email, it moves outside the secure and controlled environment of your inbox. This can lead to:
- Data leaks: Confidential company information could be sent to unauthorized individuals.
- Security vulnerabilities: Forwarded emails can be intercepted or stored on less secure servers, increasing the risk of a breach.
- Compliance issues: Forwarding emails can violate data protection regulations and company policies.
These risks are significant, and by eliminating email forwarding, we significantly strengthen our defense against cyber threats and protect our valuable information.
Secure Alternative: Delegated Access
We understand there are times when a supervisor or manager may need access to your email, such as when you are on vacation or out of the office. To accommodate this need securely, we have a process for granting delegated access. This method allows your supervisor to manage your inbox on your behalf without any security risks.
The steps are simple to get this set up in advance of time away. As the employee, you can submit an IT support ticket requesting that your manager be granted delegate access to your email account. Your manager can also submit a ticket on your behalf, requesting the same access.
Once the ticket is processed, your manager will be granted read, manage, and send on behalf access. This means they can view, organize, and even send emails from your account as if they were you. This method is secure, auditable, and ensures that all company data remains within our protected environment.
